Guidelines for Creating an Editorial
- Each magazine is more productive with an editor. The editor takes responsibility for gathering and formatting information, then submits it before deadline.
- Editorial content is due by the 15th of the month preceding publication. If you are unable to make deadline for any reason - please call to let us know. In the absence of your editorial content, we will provide generic content.
- Content should be single sided, black and white (grayscale), on white, letter-sized paper. Any color images or type will be converted to grayscale.
- For the best quality, we encourage you to submit your editorials electronically. They may be uploaded online or mailed to us on a CD.
- Electronic submissions should be in PDF format. For assistance with creating PDFs, see Converting to PDF below.
- While it is possible for us to work with a Word document, we cannot guarantee that it will print on our system exactly as you see it on your system. Try converting your Word document to a PDF.
- Please submit only one document for your editorial. We cannot accept 16 or 20 individual PDFs for your editorial. The only time multiple documents are allowed is if the file size is over 8MB.
- Margins - please leave a minimum of 1/4” all the way around. Less than that could mean the loss of images or text.
- For photographs, please do not use a “halftone,” “photocopy” or any setting that uses small dots when printing the photo (if you’re not sure what this is, you probably don’t have to worry about it.) Use a resolution of 300dpi for best quality.
- Please use only one form of submission. Sending a hardcopy with additional pages sent online may result in the loss of pages to your editorial.
- Please submit your editorial only once. Be sure it is your final version. We cannot accept any updates or corrections to editorials once they have been submitted.
- Please submit your pages in the order they should appear, single sided, and all facing up.
- If you are cutting and pasting (literally) your editorial together, please do not allow any adhesive to remain exposed. Although it can be fun to put together, a cut-and-paste editorial slows down and sometimes jams our machines. If you are able to photocopy these pages and submit the photocopies, that’s one step better. If you are able to visit your local Kinko’s or other copy place, they may be able to scan them for you and put them on disc, which you can then mail to us - two steps better!
- Requests to insert the puzzle page may be made on the Special Instructions line or on the appropriate Page Description line of the Editorial Record Sheet. Please note that to ensure the inclusion of the puzzle page, you should include it in your total page count (e.g. 15 pages of editorial plus puzzle equals 16 pages total).
- We are unable to remove headers on editorials sent by fax. If you are unable to submit an electronic version of your editorial, please try to mail a hard copy.
- Any changes to your magazine (e.g. quantity, name of publication) need to be received by the 5th of the preceding month.
Converting to PDF
A PDF (Portable Document Format) is a very popular type of file that can be shared, viewed, and printed by anyone with free Adobe Reader® software. By converting your editorial to a PDF, you ensure that all of your fonts, images and layouts will appear the same in our machines as they do on yours.
There are many, free PDF converting tools available online or as downloads, such as these three:
You can purchase Adobe Acrobat in your local computer store or purchase it online (around $200). You can also use low-cost alternative to PDF: FinePrint pdfFactory ($50).
